Brand consistency: why your website, Instagram and visiting card should match

If your website is blue, your Instagram is pink and your visiting card is from 2016, customers notice. Here's why that matters and how to fix it in an afternoon.

Picture this. Someone sees your Instagram post, likes the look of it and searches for you on Google. They land on a website with different colours, an older logo and a slightly different business name. For a moment they wonder whether it's even the same business.

That moment of doubt is small. But it happens at exactly the point where you want them to trust you, and it adds up.

Why consistency matters

  • People recognise you faster. Seeing the same colours, logo and style again and again is how a business becomes familiar.
  • It builds trust. A consistent look signals an organised, established business that pays attention to detail.
  • It makes small businesses look bigger. You don't need a big budget to look professional. You need to look the same everywhere.
  • It helps with search. When your business name, address and phone number match everywhere online, Google can be more confident about who you are. Our local SEO guide covers this.

Where your brand shows up

It's usually more places than you think. Run through this list and check each one:

  • Website and Google Business Profile
  • Instagram, Facebook, LinkedIn and YouTube
  • WhatsApp Business profile and catalogue
  • Visiting cards, letterheads, invoices and quotations
  • Shop signage, packaging, bags and stickers
  • Staff uniforms and ID cards
  • Email signatures and presentation templates

The most common inconsistencies

  • Three slightly different versions of the logo floating around
  • Colours that are "roughly" the same blue, but not quite
  • A different font on every poster
  • Different business names, like "Sharma & Sons" on Google and "Sharma Traders" on Instagram
  • Old phone numbers or addresses still listed in some places
  • A friendly tone on social media but a stiff, formal one on the website

The fix: a one-page brand guide

Big companies have brand books that run to a hundred pages. You need one page. Put these on it:

  1. Your logo versions and when to use each one, plus a note on what not to do (no stretching, no changing colours).
  2. Your colours with exact codes. HEX codes for screens and CMYK values for print, so nobody has to guess.
  3. Two fonts at most: one for headings and one for body text.
  4. Your tone of voice in a few words. For example: friendly, clear, never pushy.
  5. Your photo style. Bright and natural? Clean product shots on white? A couple of example images helps.
  6. Your official business details, written exactly as they should appear everywhere.

Share it with anyone who creates anything for your business: staff, freelancers, your printer, your agency.

Make it easy to stay consistent

A guide only helps if people use it. Templates make that easy. Set up ready-made designs for your most common needs, like Instagram posts, offer announcements, invoices and quotations, so nobody starts from a blank page and invents a new style each time.

Quick audit: open your website, Instagram, Google Business Profile and visiting card side by side. If a stranger couldn't tell immediately they're all the same business, it's time to tidy up.
